1. Who is responsible for your data
Wanderlust Travel & Tours (“WTT”, “we”, “us”) is a sole-proprietor travel-planning and booking service based in Windhoek, Namibia, owned and operated by Carmen Louw. WTT is registered with the Namibia Tourism Board as a booking office under registration number BOO01050.
WTT is the controller of the personal information described in this policy. For any privacy question or request, contact:
- Email: carmen@wttafrica.com
- Telephone/WhatsApp: +264 81 129 6708
- Post: P.O. Box 40222, Windhoek, Namibia
2. Scope of this policy
This policy covers personal information collected through www.wttafrica.com, through enquiries and correspondence with us, and in the course of planning and booking travel. It sits alongside our Terms and Conditions and Cookie Notice.
Because we arrange travel for visitors from Europe and elsewhere, we aim to meet the standards of the EU General Data Protection Regulation (GDPR) in addition to Namibian law.
3. What we collect
Travel enquiries. When you complete the enquiry form or write to us, we receive your name and email address, together with whatever travel details you choose to share — such as your phone number, destinations, dates, party size, accommodation and budget preferences, dietary requirements and any notes you add.
Field Notes newsletter. Your email address, your name if you choose to give it, which page you subscribed from, and the date and time you ticked the consent box.
Bookings. Once a trip proceeds, we may need passport details, dates of birth, addresses, emergency contacts, driving-licence details, payment records and any health, mobility or dietary requirements that suppliers must know about.
Technical data. Our web server keeps standard request logs for security and troubleshooting, and briefly notes your IP address to stop the forms being abused.
We do not use analytics, advertising or social-media tracking on this website, and we do not build profiles of visitors.
4. Health and dietary information
Dietary requirements, allergies, medical conditions, disabilities and mobility limitations count as sensitive personal information. We only ask for these where a supplier needs them to serve you safely, we only pass on what is necessary, and we rely on your explicit consent — given when you volunteer the information — to process and share it. You are free not to provide it, though some arrangements may then not be possible.
5. Why we use it, and on what legal basis
- To answer enquiries and prepare quotations — steps taken at your request before entering a contract.
- To make and manage bookings — performance of our contract with you.
- To send Field Notes — your consent, given by ticking the subscription box, which you can withdraw at any time.
- To keep the website and forms secure and working — our legitimate interest in preventing abuse and diagnosing faults.
- To keep financial and booking records — compliance with legal, tax and accounting obligations.
7. International transfers
WTT operates from Namibia, this website is hosted in Europe, and travel suppliers are located in Namibia and neighbouring countries. Arranging your travel therefore necessarily involves transferring your information outside the European Economic Area.
Where we transfer data of travellers in the EEA or United Kingdom, we do so because the transfer is necessary to perform the contract with you or to take pre-contractual steps at your request, and we limit each transfer to the information the recipient actually needs.
8. How long we keep it
We keep personal information only as long as we need it for the purpose it was given, or for as long as legal, tax and accounting rules require. Booking and financial records are kept for the periods the law sets. Newsletter subscriptions are kept until you unsubscribe or ask us to remove you. Anything we no longer need is deleted.
9. How we protect it
The website is served over HTTPS only. Newsletter subscriptions are stored on our own server in Europe rather than with a third-party marketing platform, and the administration area is password-protected. Enquiry details reach us by email and are kept in our mailbox. Access is limited to Carmen Louw.
No system is perfectly secure. Please do not send passport scans, payment card numbers or other sensitive documents through the website forms — we will tell you how to send them when the time comes.
10. Your rights
Subject to applicable law, you may ask us to give you a copy of the information we hold about you, correct anything inaccurate, delete it, restrict or object to how we use it, or provide it in a portable format. Where we rely on consent — for Field Notes, or for health and dietary information — you can withdraw that consent at any time without affecting what we did before you withdrew it.
Email carmen@wttafrica.com and we will respond as quickly as we can, within the time limits the law allows. If you are in the EEA or UK and believe we have handled your data improperly, you also have the right to complain to your national data protection authority.
12. Children
This website is not directed at children, and we do not knowingly collect information directly from them. Where a booking includes children, we receive their details from the adult making the booking, who confirms they are authorised to provide them.
13. Other websites
Our pages link to lodges, operators and other third-party sites. We are not responsible for their content or their privacy practices — please read their policies before sharing anything with them.
14. Changes to this policy
We may update this policy as our services or the law change. The current version is always published on this page, with the date it was last updated shown at the top.
